Koikoi Privacy Policy

Koikoi is operated by Premori AU Pty Ltd (ABN 21 697 137 312) (“Koikoi”, “we”, “us” or “our”). We provide a curated, in-person matchmaking event service through the website https://koikoi.com.au and the application form at https://apply.koikoi.com.au (together, the “Service”).
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy explains how we collect, use, hold, disclose and protect your personal information, and how you can access or correct it or make a complaint.
By applying to attend a Koikoi event or otherwise using the Service, you agree to your personal information being handled as described in this Privacy Policy.
1. The personal information we collect
The information we collect depends on how you interact with us. It includes:
a. Information you provide when you apply to attend an event
- Your name (first and last name)
- Date of birth and age
- Gender
- Email address and phone number
- Height
- Where you live (state, city and suburb)
- Visa / residency status
- Marital history and whether you have children
- Education and the university you attended
- Occupation, job title and salary range
- Photographs you upload (profile photos)
- Documents you choose to upload to support your application (for example, evidence of your occupation or income)
- Your preferences for a match (for example, preferred age range, height, body type, education and visa status, and the factor that matters most to you)
- Any people you ask us to help you avoid meeting
- Whether you consent to your contact details being shared with another participant if you are not matched at the event
- How you heard about us (referral source)
b. Information we collect when you contact us or attend an event
- Information you provide through our contact form, by email or in messages with us
- Information about your participation in, and conduct at, our events (for example, attendance, and match or “reveal” outcomes)
- Payment-related information (we use a third-party payment processor — see section 4 — and do not store your full card details)
c. Information we collect automatically
- Access logs, IP address and the date and time of requests
- Browser type and device information
- Information collected through cookies and similar technologies, used to keep your session active and to operate and improve the Service (see section 9)
You do not have to provide the information we ask for, but if you do not, we may not be able to process your application or provide the Service to you.
2. How we collect your personal information
We usually collect personal information directly from you — through our application form, our contact form, by email, or in person at our events. In some cases we may collect information from a person who refers you to us, or generate information ourselves (for example, notes related to screening or event logistics). Where it is reasonable and practicable, we will collect personal information about you only from you.
3. Why we collect, hold and use your personal information
We collect, hold and use your personal information to:
- Assess and screen your application, and verify your eligibility (including that you are at least 20 years old)
- Organise and run our events, curate and arrange matches, and maintain a balanced participant mix
- Facilitate introductions between participants and, where you have consented, share your contact details with another participant
- Communicate with you — including about your application status, payment, venue details, event reminders, and responses to your enquiries
- Process payments, cancellations and refunds
- Maintain the safety, security, integrity and quality of the Service, and prevent fraud and misuse
- Handle complaints and resolve disputes
- Comply with our legal obligations
- With your consent (or where otherwise permitted by law), let you know about future Koikoi events and offers (see section 7)
We will only use or disclose your personal information for the purpose we collected it, for a directly related secondary purpose you would reasonably expect, where you have consented, or where we are otherwise permitted or required by law.
4. Who we disclose your personal information to
We may disclose your personal information to:
- Other event participants — to make introductions at our events. We share only what is needed for the event (for example, your first name and limited profile details). Your contact details are shared with another participant only where you have consented (for example, with a person you are matched with, or, if you opted in, with a person if you are not matched).
- Our event staff, hosts and MCs — who help organise and run the events.
- Our service providers — including cloud hosting and data storage (Amazon Web Services), our payment processor (Stripe), email and communications providers (including Google), and other suppliers who help us operate the Service. We require them to protect your information and to use it only for the purposes for which we engage them.
- Companies within our corporate group — including our related companies in Japan and South Korea, who assist with operating, administering and supporting the Service.
- Government agencies, regulators, courts or law enforcement — where required or authorised by law, or to protect the safety of any person.
- A successor entity — if our business or assets are reorganised, sold or transferred (in which case we will require the recipient to handle your information consistently with this Privacy Policy).
We do not sell your personal information.
The photographs and documents you upload to support your application are used for our internal screening and matching purposes and are not published publicly on the Service.
5. Overseas disclosure
Some of the service providers and related companies described in section 4 are located outside Australia. In particular, your personal information may be accessed by, or disclosed to:
- our related companies and personnel in Japan and South Korea, who assist with operating and supporting the Service;
- Amazon Web Services (cloud hosting and storage);
- Stripe, Inc. (payment processing — United States); and
- Google LLC and other email/communications providers (which may store data outside Australia).
We store application and event data using infrastructure located in Australia where practicable. Where we disclose your personal information to an overseas recipient, we take reasonable steps to ensure the recipient handles it in accordance with the APPs.
6. Data quality, security and retention
We take reasonable steps to ensure the personal information we hold is accurate, up to date and complete, and to protect it from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include access controls and the use of reputable service providers.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We keep your personal information only for as long as it is needed for the purposes described in this Privacy Policy, or as required by law. As a guide:
- application and event-related information is generally retained for 5 years after the relevant event, which also allows us to meet record-keeping obligations and deal with any later disputes;
- enquiries made through our contact form or by email are generally retained for 3 years after the matter is resolved; and
- records we are required by law to keep (for example, payment and transaction records) are retained for the period required by the relevant law.
When we no longer need your personal information, we take reasonable steps to destroy or de-identify it.
7. Direct marketing
We may, where permitted by law, use your contact details to tell you about future Koikoi events and offers we think may interest you. You can opt out of receiving these communications at any time by using the unsubscribe facility in the message or by contacting us using the details in section 11. We will stop sending you marketing communications within a reasonable time of your request.
8. Accessing and correcting your information
You have the right to ask us for access to the personal information we hold about you, and to ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, contact us using the details in section 11.
We will respond within a reasonable time (and, for access requests, normally within 30 days). We will need to verify your identity before giving you access. In most cases access is free, though we may charge a reasonable fee to cover our costs for more substantial requests. If we refuse access or to correct your information, we will tell you why in writing and explain how you can complain.
9. Cookies
The Service uses cookies and similar technologies to keep your session active and to operate, secure and improve the Service. You can set your browser to refuse or limit cookies, but if you do, some features of the Service may not work properly.
10. Complaints
If you believe we have breached the APPs or otherwise mishandled your personal information, please contact us using the details in section 11. Please describe your complaint and how you would like it resolved. We will acknowledge your complaint and respond within a reasonable time.

We may update this Privacy Policy from time to time. The current version will always be available on the Service, and changes take effect when we post the updated version. Where the changes are significant, we will take reasonable steps to notify you.
